Under the direct supervision of the Fire Chief this position provides administrative support to the administration of the department and the Board of Directors. In addition to typing, filling, and scheduling, performs duties such as financial record keeping, payroll, obtaining supplies, coordinating mailing, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external customers and visitors as well as internal customers at all levels of the organization. Independent judgement is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
Essential Duties
Performs a variety of secretarial/clerical duties for many functional areas; receives reviews and routes mail; composes, edits, formats and types letters, memorandum, reports, charts, requisitions, and emails; proofreads documents; maintains files, records and computerized databases.
- Distribute mail to various employees and or members of the organization
- Provide insurance companies with necessary information regarding incident responses
- Provide other organizations information when requested with approval of the administration
- Maintain department records for associations the department is a member of
- Maintain all workers compensation records, reports, and documentation
- Disburse payment for any and all bills incurred by the department, in a manner approved by the administration and Board of Directors
- Work with internal financial officer to maintain all documents for accounting, auditing, financial statements, and reports
- Obtain monthly bank statements and complete a reconcile of all expenditure by the 20th day of the following month
- Provide Board of Directors and administration with an approved monthly financial statement
- Work with Departments approved auditing and/or internal financial officer to ensure the annual audit is completed by the month of October for the previous fiscal year
- Complete all payroll, ensuring all employees information is maintained or adjusted as needed as well as any deductions by the employee or other entities
- Work with internal financial officer to file all tax reimbursements the department is eligible for
- File all federal and state taxes required for payroll and other applicable services
- Keep complete and accurate personnel files and medical files on all employees and members
- File and maintain all 401-k, 457, and NC Local government retirement requirements
- Perform and/or assist the administration with human resources related issues
- Be able to administer all benefits the department offers to all of the employees
- Work with the administration to develop and maintain the annual budget
- Performs all other duties and responsibilities as assigned by the Fire Chief or President of the Board of Directors
Qualifications
The following generally describes the knowledge and ability required to enter the position and/or be able to perform within a short period of time:
- Knowledge of customer service principles and techniques
- Knowledge of modern office practices, procedures, software applications and hardware
- Knowledge of proper English usage, vocabulary, spelling, grammar and punctuation
- Knowledge of bask bookkeeping practices and procedures
- Knowledge of Quick Books for bookkeeping practices
- Knowledge of budget procedures and practices
- Knowledge of basic human resources applications
- Knowledge of HIPPA and the application on maintaining records
- Ability to learn and apply policies, procedures and guidelines
- Ability understand and follow written and oral instruction
- Ability to establish and maintain effective working relationships with the employees, administration, and Board of Directors
- Knowledge of record keeping as it applies to the fire service required by state and federal laws
- Knowledge of record keeping for a non-profit corporation as required by state and federal laws
Education and Experience
The following is required for the position:
- Minimum of 18 years of age
- Minimum of high school diploma or GED (knowledge, education, training, certification in bookkeeping, records management, or human resources preferred)
- Possession of a valid NC Driver’s License
Recommended Education and Experience
- Possession of an Associate’s Degree in a related field
- Experience in a related field
- Education and experience will be evaluated based on relevance to the position
Pay Range
- $33,193 To $62,542
- Starting Pay Depending on Qualifications
